Center Policies and Procedures
The Sentara RMH Wellness Center “SRMHWC” has established a variety of policies and procedures to ensure that all members have both a safe and enjoyable experience while using the facilities. It is recommended that all members and guests familiarize yourselves with our policies and procedures prior to visiting and utilizing the center.
At the Sentara RMH Wellness Center (SRMHWC), we are committed to fostering a culturally inclusive environment where everyone feels respected and valued. In alignment with this commitment, we recognize and support the diverse identities of all individuals
We reserve the right to amend or add any policies in the best interest of its members and SRMHWC. Interpretation of all SRMHWC policies and procedures is subject to final decision by SRMHWC management. In addition to the below we ask that you follow any and all posted signage throughout the wellness center.
The SRMHWC prohibits inappropriate behavior and conduct. This includes, but is not limited to:
- Profanity
- Harassment or abusive language or attire. Harassment includes derogatory remarks, jokes, inappropriate comments or innuendos, unwelcome touching, or displaying offensive material, fighting.
- The removal/vandalism of Wellness Center property.
- Criminal conduct of any kind.
- Proper etiquette and courtesy should be observed at all times. This includes all published scheduled or by instruction of SRMHWC staff.
- Theft or damage of any kind will not be tolerated and will result in dismissal from membership as well as responsibility for relinquishing damaged property.
Any Violators (members/guests) of the above may be asked to vacate the premises without a refund.
Safety
Members and guests should observe all posted signs and use caution when exercising. Members are responsible for their own safety and adherence to rules.
Regular physical activity is safe and healthy for most people. However, some individuals may have health-related risks that might be aggravated by participation in a physical-activity program. Please see a physician before beginning a new exercise routine or trying a new routine and always follow your physician’s recommendations. There is a possibility of minor, serious, fatal, accidental or other injury or illness occurring during or as a result of exercise, use of equipment, or activity programs on center property. In the event an employee is notified of an emergency, the RMH Wellness Center will utilize 911 services.
ACCIDENTS/INCIDENTS
In the case of an unusual incident or an accident, please notify the front desk. In the event of an incident or accident, please notify the front desk and EMS 911 in the event of a medical or health emergency. First Aid Kit & AED are located at the front desk.
Emergencies
Emergency exits are clearly marked throughout the Wellness Center.
When a facility evacuation is required, all members and guests should exit the building at the closest exit and gather at the outdoor track on the south side of the facility. Children in Kids Club will be evacuated by the staff and be taken to the outdoor track.
Alarm panic buttons are located in the locker room, aquatics, and group fitness studio areas. In the event of an emergency, press the nearest panic button to contact the nearest staff member. Always notify a staff member as soon as an accident or injury occurs. In the event of an emergency, the staff will activate the emergency response system. Dialing 9-911 on any of the Center’s phones activates Emergency Medical Services.
SRMHWC prohibits the usage of tobacco products, vape, illegal drugs and alcohol on premises.
Pets or companion animals are not permitted inside the Club, unless the animal is a service animal. A service animal is trained to perform tasks or duties in the care of a person with a disability who requires specific assistance for the disability or is an on-duty law enforcement animal. Service animal must remain leashed and under the responsible person’s control. The animal will be excluded if it poses a health or safety risk, is not housebroken, excessively barks or if it is out of control and the handler is unable or unwilling to effectively control it. The animal’s owner is liable for any damage caused by the animal.
Members and guests are expected to wear proper attire when using facilities and participating in programs. Management reserves the right to determine whether a member’s or guest’s attire is appropriate. Please see a team member if you have any questions.
Fitness Area: Top and shorts or pants must be worn at all times.
Footwear: Non-marking rubber soled, closed toe shoes are recommended in the fitness areas. Bare feet and flip flops are not permitted in the fitness equipment areas or on the track. Non-marking rubber soled shoes must be worn on the basketball court.
Aquatics Area: Non-revealing swimsuits appropriate for a family fitness center or chlorine resistant swim shirts and shorts must be worn in the pools. Pool shoes or sandals are recommended but not required.
Member Check-In: All members must scan their membership tag at the front desk upon entering the center. The tag is non-transferable. Usage by another person other than the member whom the card is issued may result in termination of membership and/or removal from the center. A current member picture associated with your account on file is required.
Non‐Member Check‐In: All non‐members coming to center for training sessions, programs, and swim lessons or using the center as a guest must register at the Front Desk before entering the center. Program session fees/guest fees apply.
For the safety and courtesy of all members and guests:
- Cell phone usage is strictly prohibited in the locker rooms.
- Cell phone conversations/texting while actively engaging in an exercise is not permitted.
- Cell phone conversations should be taken in the lobby area only.
- Any photography/videography captured inside the Wellness Center should ONLY include those who have given adult consent.
- Headphones must be used when listening to music or for video viewing purposes on the fitness floor.
- Please silence your ringer when attending a group fitness class.
To ensure the safety of all members and guests, all members and guests are required to adhere to the following age-guidelines related to use of the facility and equipment. These guidelines may be adjusted as deemed necessary by the management team; safety is always our top priority.
Direct Adult Supervision or With Parent means that a parent or other authorized guardian should be in the same designated area, maintain constant visual contact.
Children 4 and under may access the indoor track when a parent/adult guardian remains within arm’s length of child. Please observe posted rules.
Children ages 5-9 may access the following areas with a parent or under Direct Adult Supervision:
Aquatics area
Basketball court
Indoor track
Children under age 10 do NOT have access to the following areas:
Fitness Equipment Areas
Group Fitness Studio
Equipment in the Stretching Areas
Children, ages 10-13 may access the following areas with a parent and under Direct Adult Supervision:
Fitness Equipment Areas (with proper orientation),
Basketball Court
Group Fitness Studio
Pool
Indoor track
Children, ages 14-15 years of age have full access to the facility while a guardian is in the facility.
Members, ages 16-17 may use the facility without a guardian in the facility.
Non-members, ages 16-17 must be accompanied by a supervising guardian, age 18 or above.
KIDS CLUB
A parent or designated guardian (person 18 years of age or older) must remain on center premises while the child is visiting Kids Club. Kids Club operates as a program exempt from licensure with basic health and safety requirements but has no direct oversight by the VA Department of Education.
Kids Club is available with advanced reservation for member children during designated times and allows you to enjoy your workout while your children, ages infant through school age children, participate in a variety of activities. Below are our procedures designed to provide a fun, safe, and engaging environment for your loved ones.
Advance reservations through our Member Portal are required. (24 hours advance registration recommended)
Children must be checked in and out by a parent, or listed adult guardian when visiting the Kids Club
Child members may visit Kids Club up to 90 minutes per visit.
Children should be fed prior to visiting the Kids Club. Due to allergy/choking risk, snacks are not permitted in this area. Parents should provide non-breakable bottles, water bottle labeled with full name.
Children should also have a fresh diaper and/or use the bathroom prior to their visit. We are not able to provide diaper changes. Parents will be notified to change the diaper.
The use of cell phones or other devices to take photos or videos is prohibited in the Kids Club with the exception of id photo taken with our system software for identification purposes.
Children should refrain from bringing personal games and toys to the Kids Club. We are not liable or responsible for lost, stolen, or damaged personal items.
Sick children, including but not limited to children with a fever and/or contagious illness, should not visit Kids Club. If a child becomes sick while in Kids Club, the parent or guardian is responsible for immediately picking up the child.
Our employees may not accept or administer medication to any child. This includes emergency medication, such as EpiPens.
If a person other than the authorized guardian is going to pick up the child, the name of the person picking up the child should be communicated to the Kids Club employee.
Kids Club team members may contact the parent/guardian of children requiring one-to-one supervision, children who are unable to comfortably participate in activities, and/or children exhibiting undesirable behavior. Kids Club team members will make a reasonable effort to calm and/or redirect a child. Kids Club team members may ask the parent to pick up the child from Kids Club. Children exhibiting undesirable behaviors repeatedly and/or specific behaviors the team deems as aggressive or unsafe may have their Kids Club privileges suspended or revoked.
Parents or authorized guardian may enter the Kids Club to assist their children. For safety reasons, parents and supervising adults are limited to a ten-minute stay in the Kids Club.
Firearms and weapons are prohibited on the premises. Only on-duty law enforcement officers are permitted to carry firearms on property.
Food is only permitted in the lobby and cafe areas outside of special event occasions. Sports drinks and water must be in a spill-proof, non-breakable bottle. No glass or open canned beverages allowed. Vending machines and drinking fountains are located in our lobby area.
SRMHWC operates as a membership-based club. With that in mind and in order to accommodate our members’ guests and visitors to the area, we have the following guest policies.
- All non-members guests must check in at the front desk and pay the appropriate fee or provide a guest pass and complete a pre-screening questionnaire prior to utilizing the facility. Non-members found to be using the facility without paying will be asked to leave and may be suspended from future use.
- Guests of members should be checked-in at the front desk by the hosting member and pay the appropriate fee or provide a guest pass. Failure to check-in your guest, could result in suspension or termination of your membership. Members are responsible for damage incurred by dependent children or guests.
- Guests do not have access to child care services.
- Guests under the age of 18 must be accompanied by a responsible adult age 18 or over.
- Guest fees or passes must be used when accessing any area in the facility past the lobby area regardless of intent to participate in activities.

Complimentary electronic guest passes for qualifying membership
Qualifying membership accounts receive electronic guest passes on their account. The member must accompany the guest in order to use the electronic pass. These guest passes automatically expire on the 31st of December or in the event of membership cancellation. Guest passes are shared on the account and may be used by any eligible member listed on the membership and are non transferable and non refundable. A Member may use up to 2 electronic passes to bring up to 2 guests/per day.
Over 5 guests at one time, is considered a large party. Bringing a large party must be pre-planned and pre-approved by the management team.
NO SOLICITATION
Unauthorized solicitation and/or distribution of any kind is prohibited.
Private instruction, lessons or training at the center may be provided strictly by center authorized personnel.
Membership does not confer or include interest of ownership in facilities or assets of Sentara or the Sentara RMH Wellness Center. Membership grants zero rights to govern or control the affairs of the Sentara RMH Wellness Center. Sale or transfer of the membership is strictly prohibited by a member or outside entity.
SRMHWC is not responsible for damage to vehicles in the parking lot. Do not leave children, animals, or items of value in your vehicle when visiting. Observe all speed limit, directional and parking signs in the lot. When deemed necessary, SRMHWC will report unsafe conditions to law enforcement authorities.
Do not leave vehicles overnight on the premises.
For the safety and security of your personal belongings, we ask that you refrain from bringing items of value to the center. Complementary day-use lockers are available during your visit and items should be removed at the end of your visit. If you’d like to store items overnight. We offer monthly locker rental as an add-on to your membership.
SRMHWC is not liable or responsible for lost, stolen, or damaged personal items, whether from lockers, vehicles, or other locations on the premises.
Please turn in any found articles to the lost and found at the front desk. If you have lost an item, please check with the front desk.
LOCKER ROOMS
Children age 3 and under may use either male or female locker rooms with a parent/guardian. Children age 4 and over must use gender specific locker rooms. Youth under the age of 14 should not be unattended in the locker room. For your convenience, a family locker room is available for those individuals with small children, members with special needs or for those who want private changing spaces.
POOLS/AQUATICS AREA
Those who use the pool or any other part of the aquatics area (including all classes and clinics) do so at their own risk, as there may be times when no staff will be present. Parents and guardians with children using these areas are responsible for their children’s safety and their adherence to rules governing the pool area. Children under the age of 14 must be under the close and direct supervision of a responsible adult at all times. PLEASE SEE OUR POOL SCHEDULES for specific times listed for lap swimming, rehab and adult only time in the warm water pool, and open swim times. SRMHWC reserved the right to updates or changes pool schedule at anytime
Appropriate swimming attire for a family fitness center is required at all times for example:
**All swimmers must wear proper, clean swim attire appropriate for a family fitness center. Appropriate attire includes non-revealing swimsuits and chlorine-resistant swim shirts and shorts. No thongs/cheeky bottoms. Infants and toddlers must wear swim diapers (available for purchase at the reception desk). Wellness Center staff have the authority to deem what is appropriate, if you have any questions, please ask.
POOL/AQUATICS AREA
Those who use the pool or any other part of the aquatics area (including all classes and clinics) do so at their own risk, as there may be times when no staff will be present. Please observe all posted schedules for times when warm pool is Adults Only.
Child Access
Parents and guardians with children using these areas are responsible for their children’s safety at all times and their adherence to rules governing the pool area.
- Age 13 and under MUST be accompanied by an adult on the pool deck.
- Children in a puddle jumper or life vest MUST be within arms’ reach of an adult
- Children in the pools MUST have active parent supervision at all times
- Swim diapers are required on all who are not potty trained
All Pools
- Members and guests swim at their own risk
- No open wounds or sores
- Shower before entering pools
- **Proper swim attire is required at all times
- Not food or chewing gum
- Please be considerate of others
- No running on pool deck
- No diving
- No roughhousing, dunking or wrestling
- If you jump in do so FEET first
- Please limit cellphone conversations to the lobby area
- Pictures or videography prohibited (parents may take photos of their own children swimming or taking swim lessons)
- No breath holding
Warm Water Pool Rules
- No swimming under, over or playing on the railing or exercise equipment
- Do not block ramp
- A rope across the warm water pool indicates deep end space is reserved for therapy and exercise, shallow end for open play area.
Fitness Pool Rules
- No swimming over or hanging on lap lanes or exercise equipment.
- Please share lanes
- Lifeguards have full authority to enforce pool rules with the goal of allowing all members to enjoy and be safe in the Aquatics Area.
- Please see complete list of safety rules posted in the pool area. The on-duty lifeguard has the authority to enforce all rules.
WHIRLPOOL
The whirlpool can be a very relaxing and therapeutic experience. However, due to extreme temperatures, the whirlpool can pose a danger to some people. We recommend speaking with your healthcare provider prior to use. The whirlpool temperature is typically between 100 – 103 degrees. Please observe the posted rules before entering either facilities.
- Ages 4 AND UNDER ARE NOT AUTHORIZED TO USE
- Ages 5-12 are NOT recommended to use and may not use without parental supervision
- Shower before entering.
- Observe a reasonable time limit of 10-15 minutes.
- Please be considerate of others enjoying the space.
- No open wounds or sores.
- **Proper swim attire is required at all times.
- No food or chewing gum.
- The high temperatures can pose a risk to some. The elderly, pregnant women and those with pre-existing health conditions should always speak with their healthcare provider prior to use.
- Observe reasonable time limits of 10-15 minutes, then leave the water and cool down before returning for another brief session.
- Long exposure may result in nausea, dizziness, or fainting
- Hot water immersion while under the influence of alcohol, narcotics, drugs, or medicines may lead to serious consequences and is not permitted .
- Do not enter hot tub if the water temperature exceeds 104 degrees Fahrenheit.
- Please limit cell phone conversation to the lobby areas
Sauna
Relax in our traditional dry heat sauna where temperatures are set between 175-185 degrees. Due to the higher temperatures we recommend all users speak to their health care provider before enjoying this space, particularly those who have health concerns that can be exacerbated by extreme temperatures. Before enjoying our sauna we ask that you read and follow the below guidelines as well as any an all posted signage in this area:
Health and Safety Guidelines
- This sauna is not intended for use by persons (including children) with reduced physical, sensory, or mental capabilities, or lack of experience and knowledge.
- Keep away from the heater as the stones and outer surface may cause burns.
- Do not sleep or nap in the sauna.
- Observe a reasonable time limit of 10-15 minutes.
- Be cautious when maneuvering within the sauna as the benches and floor may be slippery.
Please respect our sauna by following the below guidelines:
- Sit on a towel to avoid perspiration penetrating the softwood.
- Do not place any material over the sauna heater as it may catch fire. Do not pour any liquids on the heating unit. This will damage the heating unit
- Tampering with sauna sensors or controls will result in immediate dismissal.
- No shoes, food, gum, glass, spitting, jewelry, lotions, fragrances, ointments, service animals or personal grooming such as shaving.
- Report any malfunction or misuse to Wellness Center staff.
Indoor Track
- Ages 4 and under must remain within arm’s length of parent
- Age 5-9 must be supervised by parent or guardian
- Ages 10-13 must be accompanied by parent/guardian
- Please be courteous and cautious of others utilizing the track
- Close toed athletic shoes recommended, bare feet and flip flops prohibited
- Walkers use inside two lanes
- Joggers and runners use outside two lanes
- Walk, jog, run in the appropriate direction based on the day of the week as posted.
- 12 laps = 1 mile
FITNESS AREAS
- Children under the age of 10 are not allowed to be in the fitness areas.
- Youth ages 10 – 13 must be supervised by a parent/adult guardian when utilizing the equipment.
- Dropping or slamming weights is prohibited.
- Please be courteous of others by sharing space, equipment, and allowing others to work in.
- Please share all equipment and limit time on cardio to 30 minutes if others are waiting
- Please re-rack and put away equipment after use.
- Wipe down equipment after use.
Group exercise classes are included with a membership or guest pass.
- For the courtesy of others, please arrive to class on time and silence your cell phone.
- Athletic, non marking shoes are required unless you are participating in Yoga, Pilates, Barre or Aqua. Water shoes are recommended in all Aqua classes.
- If this is your first time attending a class, please let the instructor know before class begins so they may assist you.
- Please store personal items in a locker or out of the way on the perimeter of the studio.
- Use wipes to clean your equipment and put all equipment back where it is stored.
- Food is not permitted in the studio, court or pool area. All beverages should be in a non-breakable, sealable container.
- The stereo equipment is for staff use only.
Youth access to classes:
- Under Age 10 not permitted.
- Ages 10 – 14 must be participating in the class and with an adult guardian at all times.
- Ages 14 – 15 may participate in class as long as a responsible adult remains on the premises.
- Members Age 16 and up – may access the facility without a parent.
- Guests Age 16 – 17 may access the class as long as a responsible adult remains on the premises.
The group studios may be used for exercise only when the studio is not scheduled for a class or other organized SRMHWC activity/event.
Upgrades or adding qualifying family members to your account is available with a $25 upgrade fee and by paying the difference in monthly dues.
- Qualifying family members include spouse or partner residing with proof of shared address and dependent children under the age of 25.
- For instance, if you would like to add a member to your account beginning on April 1st, please visit Membership Services to fill out the appropriate paperwork by March 1st.
- The primary member (account holder) will need to visit our membership office during office hours to pay the $25 upgrade fee and prorated dues and sign for the change.
- The membership office is open Mon – Fri 9:00am – 1:00pm and 2:00pm – 5:30pm; Sat 9am – 1:00pm.
Downgrades or removing a family member from your account is available with a 30 day written notice to update the new dues amount for the next billing cycle.
- For instance, if you would like to remove a family member from your account beginning on April 1st, please visit Membership Services to fill out the appropriate paperwork by March 1st.
- The primary member (account holder) will need to visit our membership office during office hours to sign for the change.
- The membership office is open Mon – Fri 9:00am – 1:00pm and 2:00pm – 5:30pm; Sat 9am – 1:00pm.
Membership accounts may be placed on a hold or freeze for personal reasons for a minimum of 1 full month to a maximum of 3 full months (in full-month increments) in a calendar year.
- A hold fee is applied in place of the regular monthly dues during each month of the freeze.
- $15 per individual account/per month or $30/per month for a couple or family account.
- When a membership is in “hold” or freeze status, the member may not use the facility.
- A 30 day notice is required to freeze the membership before the billing cycle. The freeze takes effect on the 1st of the month.
- For instance, if you would like to freeze your account beginning on April 1st, please visit Membership Services to fill out the appropriate paperwork by March 1st.
- At the end of the requested freeze/hold period, your membership account and regular monthly dues will activate automatically on the 1st of the month.
- Hold request forms are available in the membership office. Requests must be submitted in person during membership office hours. The membership office is open Monday – Friday 9 am – 1 pm; 2 pm – 5:30 pm and Saturday 9 am – 1 pm.
Membership accounts may be placed on a hold or freeze for medical reasons for a minimum of 1 full month to a maximum of 3 full months (in full-month increments) in a calendar year.
- A physician’s signature is required in order to put your membership on a medical freeze. The physician should note the medical clearance date for return to activity on the freeze form.
- When a membership is in “hold” or freeze status, the member may not use the facility.
- A 30 day notice is required to freeze the membership before the billing cycle. The freeze takes effect on the 1st of the first full month to a maximum of 3 full months.
- At the end of the requested freeze/hold period, your membership account and regular monthly dues will activate automatically on the 1st of the month.
- Freeze request forms are available in the membership office. Requests must be submitted in person during membership office hours. The membership office is open Monday – Friday 9 am – 1 pm; 2 pm – 5:30 pm and Saturday 9 am – 1 pm.
CANCELLATION OF MEMBERSHIP
A 30-day notice of cancellation is required to cancel your account. The Primary member must request cancellation at least 30 days before the effective cancellation date by the following methods:
1) in person in the membership office during office hours Monday – Friday 9 am – 1 pm; 2 pm – 5:30 pm and Saturday 9 am – 1 pm or
2) via certified mail to Sentara RMH Wellness Center, 2500 Wellness Drive, Harrisonburg, VA 22801.
3) Speaking with a membership representative by calling 1-540-564-5685.
Please note: We are not able to take cancellation requests by phone or email.
Date of effective cancellation will occur at the end of the full monthly billing cycle. Members are obligated to pay all balances on the account upon cancellation. For instance, if you would like to cancel your account beginning on April 1st, please visit Membership Services to fill out the appropriate paperwork by March 1st.
Failure to use the facilities does not imply a wish to discontinue membership or absolve members from payment of monthly dues.
Non-Payment/Failure to submit a 30-day notice does not absolve the member from payment due.
An enrollment fee is required to rejoin the center.
